About the CUOS

How are students appointed to the CUOS? What kind of compensation do CUOS members receive?

The five students on the board of CUOS are appointed from September to September each year by the Board of the University. A vacancy will be posted on Nestor in the spring. To this, any RUG student can apply. The members of the CUOS receive four months of board grant of € 694,20 per month.

What is CUOS? And what does CUOS do?

The Central Executive Board for Student Organizations (CUOS) is a board consisting of five students, appointed for one year by the Executive Board of the University of Groningen. The CUOS supports student organizations on behalf of the RUG. Among other things, the CUOS gives grants to general student organizations, distributes office space among recognized student organizations and manages the premises used for that purpose. In addition, the CUOS advises the Board of the University on the distribution of board months of the Graduation Fund to be given to the board members of various student organizations.

How do I get in touch with the CUOS?

If you have a specific question about any of the CUOS portfolios, please reach out to the Board member that holds this portfilio. Otherwise, if it is about something more general or you are not entirely sure yet who to reach out to, you can send an email to the general email address: cuos@rug.nl. Keep in mind that CUOS is a part-time Board, we aspire to respond to emails within one to two days.

Do you want to do a CUOS Board year?

If you want to apply for a position of the CUOS board you can send an e-mail to cuos rug.nl to request further information. Mention your name and e-mail address and you will receive an information brochure from us. In this you will find information regarding the application procedure and about CUOS in general.

Can I contact the Board of CUOS in English?

Yes of course, that is absolutely fine!

The Graduation Fund & Board grants

What is a board grant?

A board grant is an amount of money intended to compensate for the expected study delay that a person incurs due to board work. A boad grant is generally expressed in months. The amount you receive per month as boardmember is €471,96. When a board member is entitled to a board grant, they receive at least one month of board grant or a maximum of six months of board grant per year.

Who receives Board grants?

Board grants are awarded to organizations that meet the conditions set forth in the Profiling Fund Regulations. In order for an organization to qualify for a board grant, it must be included in the Profiling Fund and an application needs to be sent in. Depending on the size and activities of the organization, the organization is allocated a number of months of board grants. The organization may divide these months among board or committee members (with a maximum of 6 months per person). These people must then apply to the university for the board grants to which they are entitled. 

When will my organization be re-evaluated?

Every year one of the three organizational categories will be re-evaluated.

The three categories are (in correct order):

Where should application forms be handed in?

You can hand in all documents to cuos.aanvraag@rug.nl, following the file names as described in the how-to of what is being requested, found on the page of the individual subsidies.

What happens when I have not finalized all documents in time?

In the unlikely event that you do not make the deadline for one or more required documents due to (external) circumstances, please contact cuos.secretaris@rug.nl as soon as possible - but before the deadline.

Can I appeal a decision made by the CUOS?

Yes, you can. The CUOS letter stating the decision indicates how to appeal the decision to the Board of the University.

I am on the board of an organization, am I entitled to a board grant?

You can find out if your organization is included in the Regulation of the Graduation Fund. If so, the number of months the organization is entitled to is listed there. The organization may divide this number of months among its board and committee members. However, the maximum number of months per person is six.

If the organization is not included in the Regeling Profileringsfonds, the organization can apply once a year to the CUOS for inclusion in the Regeling Profileringsfonds. The deadline for these applications is November 15th at noon.

I am on the board of an association and entitled to a board grant, where do I apply?

On www.rug.nl/studievertraging you can find all the necessary information. For any further questions you can contact the University Funds Committee (UFC) under ufc@rug.nl.

My board grant months have not yet been transferred to my account. Who should I contact?

CUOS does not transfer the (individual) board grant months. Questions regarding the payment of the grant months can be directed at the University Funds Committee (UFC) at ufc rug.nl .

How do I know whether or not my organization is eligible for a grant from CUOS?

A good starting point will be reading the different regulations on the CUOS website. In these you will find the different grants the CUOS can allocate and you will find who is eligible for the different kind of grants. If you think your organization is qualified to receive a grant, you can use the different application forms which you can find on the website as well to apply for a grant. You can contact CUOS in case you might have any further questions regarding this procedure.

When does a grant application have to be submitted?

This varies depending on the grant and more information can be found in the applciaiton form for the specific grant and in the regulations.

Graduation Fund: 15 November, 12:00 noon

Activities subsidy & Housing: 31 January, 23:59

Internationalisation and Inclusion subsidy: 31 March, 23:59

WBTR-subsidy: 30 April, 23:59

Formation Grant: No deadline, can be used all year round

Where does the application have to be handed in?

What happens when I do not submit an application in time?

In this case your application will not be considered and you will thus not receive a grant.

When will my application be discussed by CUOS and can I be present?

The decision-making meetings of the CUOS are open to the public. The place and time of the decision-making meeting will be shared in a timely manner on the page "Good to know". If you want to know exactly when your application will be considered by the CUOS, it is best to get in touch.

Can I object a CUOS decision?

Yes, you can. The CUOS letter stating the decision indicates how to appeal the decision to the Board of the University.

We have not yet changed our Statutes - can we still apply for the WBTR-subsidy?

In order to apply for the WBTR-subsidy, you DO NOT have to have changed Statuten already. It is sufficient if you send in an offer from a notary.
