Deregistration during academic year

You are automatically deregistered at the end of each academic year. The academic year runs from 1 September to 31 August.


Deregistering during the academic year

It is possible to deregister during the academic year, but this may have consequences.

Consequences deregistration

From the moment you are officially deregistered from the University of Groningen:

  • you will no longer be entitled to student finance from DUO or a student travel product.
  • you will no longer be permitted to follow course units and sit examinations.

If you want to leave your degree programme during an academic year:

Step 1: Submit a request for termination of enrolment

Where can I submit a request?

You can submit a request for deregistration via Studielink before the end of the academic year. Requests submitted when the academic year has already ended will not be processed.

When will I my enrolment be terminated?

After you have submitted a request to terminate your enrolment, the UG will process your request and terminate your enrolment

  • as of the first day of the following month.
  • or, if you deregister upon graduation, as of the first day of the month following the month in which you passed the final assessment (i.e., the date on your degree certificate).

Your status in Studielink will change to 'Enrolment terminated' once you are officially deregistered.

Exception

In the event of the student's death, deregistration will take effect on the first day of the month after the month in which the student died.

Step 2: Report to DUO that you have deregistered (optional)

You only need to inform DUO of the deregistration if you receive a student grant or student travel product.

Why do I have to discontinue my student grant myself?

Your student grant from DUO is not automatically discontinued when you submit a request for deregistration via Studielink. Please consult the DUO website for information on how to discontinue your student grant and how and when to hand in your student travel product.

When should I discontinue my student grant?

You are no longer entitled to a student grant or student travel product from DUO from the first day of the month in which you are officially deregistered from the University of Groningen.

For example:

If the University of Groningen officially deregisters you as of 1 April you are no longer entitled to student finance as of 1 April.

What happens if I do not discontinue by student grant?

You are only entitled to student finance and a student travel product if you are registered at an institute for higher education. If you do not report your deregistration to DUO, you will receive a student grant and a student travel product in error.

This may have serious financial consequences:

  • you will have to pay back the grant;
  • you will be fined for the months that you undeservedly had a student travel card.

Reimbursement of tuition fees

You are entitled to reimbursement of the tuition fees paid for the months during which you are no longer registered.

Exceptions reimbursement of tuition fees
  • You are not entitled to reimbursement of tuition fees if you deregister as of 1 July or 1 August.
  • You are not entitled to reimbursement if you deregister for a pre-master programme, unless you have filed a request for deregistration via Studielink in the first three months (two months from academic year 2024-2025) of your enrollment.
  • Tuition fees will be reimbursed for the months of July and August if a student is deregistered because he or she has died.
Conditions reimbursement of tuition fees

You must submit your request for deregistration via Studielink before the end of the academic year to be entitled to reimbursement of tuition fees.

The tuition fees will be refunded automatically if you are entitled to a reimbursement.

Requests for deregistration submitted after the end of the academic year will not be processed.

Calculation reimbursement of tuition fees

You are entitled to a reimbursement of 1/12 of the tuition fees for each remaining month of the academic year, counted from the date of deregistration. This is explained in the examples below.

Examples

  • If you deregister in September, and are thus deregistered as of 1 October, you will be reimbursed 11/12 of the tuition fees.
  • If you deregister in May, and are thus deregistered as of 1 June, you will be reimbursed 3/12 of the tuition fees.
  • If you deregister in June, and are thus deregistered as of 1 July, you will not receive any reimbursement.
Reimbursement of tuition fees upon graduation

If you submit a request for deregistration due to graduation, please bear in mind that:

  • The University of Groningen cannot definitively deregister you until we have received the result of your final assessment from your faculty. This may take some time.
  • If you pay tuition fees via a direct debit mandate, tuition fees may continue to be deducted from your bank account. This will be compensated in the amount to be reimbursed later.
  • Registration is terminated from the first of the month after the month in which you passed the final assessment (i.e. the date on your degree certificate). This may have consequences for your right to a student grant from DUO.

    For example:
    If your graduation date is in December and you submit a request for deregistration on the grounds of graduation in February, you will be deregistered as of 1 January. This means you will no longer be entitled to a student grant from DUO as of 1 January.
